CHAPTER DELEGATE DETAILS
GRAND CONCLAVE PHOENIX – JUNE 28 – 30, 2018

HOUSE OF DELEGATES
Each chartered chapter shall send a minimum of at least two representatives to the House of Delegates meeting. Failure to send the required representative(s) shall result in a fine of one thousand dollars ($1,000.00) per person to the chapter, payable to the Fraternity.

SELECTION OF DELEGATE
It is customary and preferred for the Chapter/Associate Chapter President to attend Grand Conclave and serve as one of the voting Delegates at the House of Delegates. The second or third voting delegate can either be voted on by the chapter or selected by the Executive Cabinet.

While completing your chapter registration form you will be asked to select whether an individual is attending the House of Delegates or an educational track. Headquarters will use the information provided on this form to then register your Delegate with the Credentials, Resolutions, and Law Committee to be credentialed to vote during the House of Delegates.

CHAPTER DELEGATE
Each chartered chapter in good standing shall be entitled to representation by a number of delegates at the House of Delegates, which shall be determined by the following formula. Chapters having a total initiated college membership on April 15 of the school year of thirty-nine (39) or fewer members shall be entitled to two (2) delegates, and forty (40) or more members shall be entitled to three (3) delegates, provided that each of the said delegates shall be elected by and from the collegiate members of the collegiate chapter.

Chartered Chapters shall be entitled to their voting privileges pending that they meet the credentials as stated below. Associate Chapter Delegates do not have a vote but are still seated in the House of Delegates to participate in the conversation.

Proposed Alumni Association/Chapter Voting Credentials:

  1. The chapter is in Good Standing with Sigma Tau Gamma Headquarters.
  2. Paid all 2017-18 national fees and dues by June 1.
  3. Must not have more than $500 in debt from previous academic years or must be on an approved Headquarters repayment agreement having made at least two payments before the House of Delegates begins.
  4. Must be a Returning Undergraduate Student in the fall 2018 academic semester/quarter

ASSOCIATE CHAPTER DELEGATE
Each associate chapter in good standing shall be entitled to representation by a number of delegates at the House of Delegates, which shall be determined by the following formula. Associate Chapters having a total initiated college membership on April 15, 2018 of thirty-nine (39) or fewer members shall be entitled to two (2) delegates, and forty (40) or more members shall be entitled to three (3) delegates, provided that each of the said delegates shall be elected by and from the collegiate members of the collegiate chapter.

Associate Chapter Delegates will get to participate if they meet the participation credentials below. They do not have a vote but are still seated in the House of Delegates to participate in the conversation.

Proposed Alumni Association/Chapter Voting Credentials:

  1. The Associate Chapter is in Good Standing with Sigma Tau Gamma Headquarters.
  2. Paid all 2017-18 national fees and dues by June 1.
  3. Must not have more than $500 in debt from previous academic.
  4. Must be a Returning Undergraduate Student in the fall 2018 academic semester/quarter.

DELEGATE EXPENSES
All Delegates will receive the discounted undergraduate registration fee to attend Grand Conclave and the House of Delegates. The more individuals attending from your chapter the cheaper the cost per person.

REGISTRATION COST
The registration cost includes three nights in the JW Marriott Desert Ridge Resort. It also includes the resort fee which provides access to the pool and other amenities at the resort. Your registration also includes the Thursday welcome dinner, Friday lunch, and Saturday dinner. All other meals and snacks are the responsibility of the individual attending Conclave.

TRAVEL & REIMBURSEMENT
Travel to/from Grand Conclave is the responsibility of each attendee. Traditionally, the chapter will either budget to pay for their 2-3 delegates registration fees or will pay for travel to/from the location.
